Antsistant is a booking, quoting and invoicing app for trades and service businesses. It is run by Luke McCormack, trading as Antsistant ("we", "us"). Contact us about privacy at hello@antsistant.co.uk.
This policy covers two groups of people:
Business users: the people who sign up to Antsistant to run their business, and their staff. For your account details, we are the controller.
Their customers: people whose details a business keeps in Antsistant, and who may use the customer page or enquiry form. For that information, the business is the controller and we are its processor. The section for customers below explains what that means for you.
Antsistant is for businesses and is not meant for anyone under 18.
We collect only what we need to run the app for you.
| What | Examples | Why | Lawful basis |
|---|---|---|---|
| Account details | Name, email, phone, business name, trade, logo, colours | To create your account and sign you in with a one-time email code (we don't use passwords) | Contract |
| Business records | Bookings, quotes, invoices, payments, job notes, photos, signatures, certificates, staff | To provide the service you signed up for | Contract |
| Billing details | Plan, trial dates, payment status | To charge your subscription. Card numbers are handled by Stripe; we never see or store them | Contract |
| Bank details you enter | Bank name, sort code, account number | So they can appear on your invoices and customer page | Contract |
| Device and app data | App version, device type, error logs, offline queue | To keep the app working, fix bugs and stop misuse | Legitimate interests |
| Support messages | Emails and messages you send us | To help you | Legitimate interests |
Phone features stay on your phone. Face ID or fingerprint unlock is checked by your phone, and we never receive it. When you import contacts, only the people you pick are added. Camera and photo access are only used when you take or choose a photo.
We don't sell your data, show adverts, or use your records to train AI models. We will only send you marketing emails if you opt in, and you can opt out at any time.
The business you deal with decides what it keeps about you and why. We store and process it for them, following their instructions and our agreement with them. Questions or requests about your details should go to that business first. If you contact us, we will pass your request on to them.
What a business may keep about you:
Your name, phone, email, address and how you prefer to be contacted
Details of what they work on for you, such as a vehicle and registration, property, pet or appliance
Bookings, quotes, invoices, payments, job notes, photos, certificates and your signature
Messages you send through your customer page, enquiry form, ratings and feedback
Your customer page. The link the business sends you opens a private page with your bookings, quotes, invoices, job reports and certificates. Anyone with the link can see it, so please don't share it. When you open it, the business can see that you viewed it.
Payments. If you pay by card, Stripe takes the payment. We only receive confirmation that it was paid.
Messages. Texts, WhatsApp messages and emails about your booking are sent by the business from its own phone or email. Their own privacy terms also apply to those services.
We use a small number of suppliers to run Antsistant. Each one only gets what it needs, under a written contract.
| Supplier | What they do | Where |
|---|---|---|
| Supabase | Hosts the database and file storage, and sends sign-in codes | London (UK) |
| Stripe | Takes card payments and subscription billing | UK, EU and US |
| Expo (650 Industries) | Builds the app and delivers app updates; no customer records | US |
| Apple and Google | App stores and push notifications | US and worldwide |
| Intuit QuickBooks | Only if a business connects it, to copy invoices across | US and UK |
When data leaves the UK, we rely on UK adequacy decisions or the UK International Data Transfer Addendum to keep it protected to UK standards.
We may also share data if the law requires it, to protect people from harm, or as part of selling or restructuring the business (we would tell you first). We never sell personal data.
| Data | How long |
|---|---|
| Your account and business records | While your account is open |
| Items you delete in the app | 30 days in the recycle bin, then removed |
| After you delete your account | Removed within 30 days; backups clear within a further 90 days |
| Our own billing records for your subscription | 6 years, for HMRC |
A business may need to keep its own invoices for 6 years for tax. It can export them before closing its account.
Data is encrypted in transit and at rest. Each business's records are kept separate, and staff only see the jobs given to them. Sign-in uses one-time email codes, and you can add Face ID or fingerprint unlock. If a breach affects you, we will tell you and the ICO when the law requires it.
You can ask us to:
give you a copy of your data
correct it
delete it (business users can do this in the app: More → Plan and account → Delete my account)
limit or object to how we use it
move it to another service
Email hello@antsistant.co.uk. We reply within one month. If you are a customer of a business that uses Antsistant, please contact that business first (see the section for customers above).
Please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
If we make important changes, we will tell business users in the app or by email before they take effect. The date at the top shows when it was last updated.
