Antsistant Privacy Policy

Who we are and what this covers

Antsistant is a booking, quoting and invoicing app for trades and service businesses. It is run by Luke McCormack, trading as Antsistant ("we", "us"). Contact us about privacy at hello@antsistant.co.uk.

This policy covers two groups of people:

Antsistant is for businesses and is not meant for anyone under 18.

What we collect from business users, and why

We collect only what we need to run the app for you.

WhatExamplesWhyLawful basis

Device and app dataApp version, device type, error logs, offline queueTo keep the app working, fix bugs and stop misuseLegitimate interests
Support messagesEmails and messages you send usTo help youLegitimate interests

Phone features stay on your phone. Face ID or fingerprint unlock is checked by your phone, and we never receive it. When you import contacts, only the people you pick are added. Camera and photo access are only used when you take or choose a photo.

We don't sell your data, show adverts, or use your records to train AI models. We will only send you marketing emails if you opt in, and you can opt out at any time.

If you are a customer of a business that uses Antsistant

The business you deal with decides what it keeps about you and why. We store and process it for them, following their instructions and our agreement with them. Questions or requests about your details should go to that business first. If you contact us, we will pass your request on to them.

What a business may keep about you:

Your customer page. The link the business sends you opens a private page with your bookings, quotes, invoices, job reports and certificates. Anyone with the link can see it, so please don't share it. When you open it, the business can see that you viewed it.

Payments. If you pay by card, Stripe takes the payment. We only receive confirmation that it was paid.

Messages. Texts, WhatsApp messages and emails about your booking are sent by the business from its own phone or email. Their own privacy terms also apply to those services.

Who we share data with

We use a small number of suppliers to run Antsistant. Each one only gets what it needs, under a written contract.

SupplierWhat they doWhere
SupabaseHosts the database and file storage, and sends sign-in codesLondon (UK)
StripeTakes card payments and subscription billingUK, EU and US
Expo (650 Industries)Builds the app and delivers app updates; no customer recordsUS
Apple and GoogleApp stores and push notificationsUS and worldwide
Intuit QuickBooksOnly if a business connects it, to copy invoices acrossUS and UK

When data leaves the UK, we rely on UK adequacy decisions or the UK International Data Transfer Addendum to keep it protected to UK standards.

We may also share data if the law requires it, to protect people from harm, or as part of selling or restructuring the business (we would tell you first). We never sell personal data.

How long we keep it

DataHow long
Your account and business recordsWhile your account is open
Items you delete in the app30 days in the recycle bin, then removed
After you delete your accountRemoved within 30 days; backups clear within a further 90 days
Our own billing records for your subscription6 years, for HMRC

A business may need to keep its own invoices for 6 years for tax. It can export them before closing its account.

How we keep it safe

Data is encrypted in transit and at rest. Each business's records are kept separate, and staff only see the jobs given to them. Sign-in uses one-time email codes, and you can add Face ID or fingerprint unlock. If a breach affects you, we will tell you and the ICO when the law requires it.

Your rights

You can ask us to:

Email hello@antsistant.co.uk. We reply within one month. If you are a customer of a business that uses Antsistant, please contact that business first (see the section for customers above).

Complaints

Please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

If we make important changes, we will tell business users in the app or by email before they take effect. The date at the top shows when it was last updated.
